Error Running 1099 in RDPWin Version 2

Issue

Errors occur when trying to run the 1099s in RDPWin version 2.

Solution

Update RDPWin to version 2.095.25 or higher and following the steps below.


  1. Verify the RDPWin version is 2.095.25 or higher. If not, update to the latest version.

  2. Log into the DE - Demo directory in RDPWin. Note: It is important to use the Demo directory so that any mistakes will not damage the actual file in the directory.

  3. Go to the System menu --> File Utilities --> Query Builder.

  4. Click the DDF Info button at the top right side.

  5. If the OTotal file is listed in the DDF Info, run the following SQL command from Query Builder, otherwise continue to step 6:

    Drop Table OTOTAL11 In Dictionary 
    (Note: OTOTAL is followed by the 2-digit year, so in this case 11 for 2011)


  6. Run the following SQL Commands:

    • Set TrueNullCreate=Off

    • CREATE TABLE "OTOTAL11" In Dictionary Using 'ABCD123.dat'(
      "DataCode" CHAR(3) CASE, 
      "CreatedBy902" CHAR(1) CASE,
      "AccessCode" CHAR(2) CASE,
      "MasterNum" CHAR(8) CASE,
      "AccountNum" CHAR(8) CASE,
      "NotUsed1" CHAR(2),
      "JanCount" SMALLINT,
      "JanAmount" CURRENCY,
      "FebCount" SMALLINT,
      "FebAmount" CURRENCY,
      "MarCount" SMALLINT,
      "MarAmount" CURRENCY,
      "AprCount" SMALLINT,
      "AprAmount" CURRENCY,
      "MayCount" SMALLINT,
      "MayAmount" CURRENCY,
      "JunCount" SMALLINT,
      "JunAmount" CURRENCY,
      "JulCount" SMALLINT,
      "JulAmount" CURRENCY,
      "AugCount" SMALLINT,
      "AugAmount" CURRENCY,
      "SepCount" SMALLINT,

    • CREATE UNIQUE INDEX "index_01" In Dictionary ON
      "OTOTAL11"("AccountNum", "AccessCode", "MasterNum");
       
    • Alter Table OTOTAL11 in Dictionary Using 'OTOTAL11.dat'

  7. Test the 1099 reports in the live system.

These same steps can be followed for the 2012 1099s so the problem does not occur again next year.

  1. If the OTotal12 is listed in the DDF info, run the following SQL command, otherwise continue to step 2.
    Drop Table OTOTAL12 in Dictionary

  2. Run the following SQL commands:

    • Set TrueNullCreate=Off

    • CREATE TABLE "OTOTAL12" In Dictionary Using 'ABCD123.dat'(
      "DataCode" CHAR(3) CASE, 
      "CreatedBy902" CHAR(1) CASE,
      "AccessCode" CHAR(2) CASE,
      "MasterNum" CHAR(8) CASE,
      "AccountNum" CHAR(8) CASE,
      "NotUsed1" CHAR(2),
      "JanCount" SMALLINT,
      "JanAmount" CURRENCY,
      "FebCount" SMALLINT,
