RDPWin RoomForecastbyGenCat reports

The RoomForecastbyGenCat reports in RDPWin --> Reporter --> Reports --> Stats folder replace the DOS 360 Occupancy Forecast reports.  Use the reports that come with revisions 3.0.2.19 or 2.095.8.

Which report to use

The DOS 360 report had 5 options to choose from:

  1. The RoomForecastbyGenCat and RoomForecastbyGenCat-GuestCount reports replace the DOS 360 option 1 report.
  2. The RoomForecastbyGenCatGrpAndNonGrp and RoomForecastbyGenCatCrpAndNonGrp-GstCnt reports replace the DOS 360 option 2 report.
  3. The RoomForecastbyGenCat-GuestCount-AllResTypes report replaces the DOS 360 option 3 report.
  4. The RoomForecastbyGenCat-TotalsOnly and RoomForecastbyGenCat-TotalsOnly-GstCnt reports replace the DOS 360 option 4 report.
  5. The RoomForecastbyGenCat-Recap and RoomForecastbyGenCat-RecapGuestCount reports replace the DOS 360 option 5 report.
Report Prompts

The DOS 360 report has some prompts that the RDPWin reports do not.  Below are the DOS 360 report prompts:

  1. The RoomForecastbyGenCat reports do not prompt to use only the room charge portion.  They only use the room charge portion of packages.
  2. The Rooms, Owned Rooms or Both prompt is not used.  The RoomForecastbyGenCat reports show both.
  3. The prompt to skip N/R and OLD rooms is not used.  The RoomForecastbyGenCat reports do not include N/R and OLD rooms.
  4. The RoomForecastbyGenCat reports prompt to skip Maintenance reservations with the default being No.
  5. The prompts to include the last 3 people categories are not used in the RoomForecastbyGenCat reports.  They include all people categories in the number of guests.
  6. The RoomForecastbyGenCat reports prompt for Property Code with the default being * for all property codes.

The RoomForecastyGenCat reports have an additional prompt to include blocks with the default being No.  When this prompt is set to Yes, revenue and guest counts are included for group blocks not picked up.

Reasons for Differences between the DOS 360 and the RDPWin RoomForecastbyGenCat reports
  1. The RoomForecast report may differ from the DOS 360 on the current system date.  The DOS 360 report looks at reservations, while the RoomForecast reports look at the stat file.  Once reservations are checked out or checked in, the reports will differ.  For example, a reservation that is checked out will no longer count as a departure on the DOS 360 report, but it will still show as a departure on the RoomForecast reports.  Another example is a reservation that is checked in will count as a stayover on the DOS 360 report, but will still count as an arrival on the RoomForecast reports.

  2. Owner referral (R type) reservations are handled differently between the reports.  The DOS 360 report will count it as a Non-Group Reservation, but the RoomForecast reports will count it as an Owner & Guest of Owner reservation.

  3. Complimentary reservations (C type or reservations with COMP rate plan) that are attached to a group will show as a Group reservation on the DOS 360 report, but will show as a Complimentary reservatoin on the RoomForecast reports.

Other Explanations

  1. The Non-Group & Group Totals line excludes Owner & Guest of Owner, Maintenance, and Complimentary reservations.

  2. The Occupancy % for Non-Group and all Group reservation types is calculated by dividing the End rooms by Non-Group & Group Total Rooms.  For example, in the above screen shot, the occupancy % for Non-Group reservations calculation is 18 (End rooms) \ 174 (Non-Group & Group Total Rooms) = 10.3%.

  3. The Occupancy % for Owner & Guest of Owner, Maintenance, and Complimentary reservation types is calculated by dividing the End rooms by All Types Total Rooms.  For example, in the above screen shot, the occupancy % for Complimentary reservations calculation is 2 (End rooms) \ 190 (All Types Total Rooms) = 1.1%.

  4. RevPAR is the revenue per available room.  This is calculated by multiplying Avg Rate Per Room times Occupancy %, then dividing by 100.  For example, in the above screen shot, RevPAR for Non-Group reservations calculation is ( 95.28 (Avg Rate Per Room) * 10.3 (Occupancy %) ) / 100 = 9.81.
